This Master's thesis explores the extent to which digital technologies can contribute to the optimisation of administrative processes in early childhood education. The analysis is conducted using the case of Familienzentren GmbH of the OÖ Kinderfreunde (FZ GmbH). The starting point for this investigation is the administrative workload perceived by the heads of early childhood institutions, which averages 13.4 hours per week and restricts their ability to focus on pedagogical core tasks. The aim of this study is to identify the potential of digital solutions to enhance efficiency, reduce administrative burden, and increase job satisfaction. A mixed-methods design was employed, incorporating qualitative in-depth interviews, a standardized online survey, and focus group discussions. Particular attention was paid to time-consuming activities such as duty scheduling, form management, and selected communication processes. The interviewed heads of educational institutions expressed both a strong desire and a clear need for digital transformation measures, which should ideally be accompanied by appropriate training programs. Notably, the potential of Large Language Models to support knowledge management, as well as the use of mobile applications to streamline communication and administrative workflows, was emphasized. Based on these findings, concrete use cases were developed and piloted — including the LLMbased "KF Coach," the digital optimization of duty scheduling and form processes, and the implementation of a digital collaboration platform ("FZ-Connect-Space") using Microsoft SharePoint. However, the implementation of these digital solutions is not without challenges. In addition to structural and organizational conditions, key concerns include compliance with the General Data Protection Regulation and the EU AI Act, the need for adequate IT training for pedagogical staff, and change management strategies to promote acceptance. In conclusion, the thesis provides practice-oriented recommendations for reducing administrative workload and enhancing the attractiveness of the early childhood education profession through targeted digitalization initiatives.
